Position Overview
The Event Manager is responsible for the strategic planning, coordination, and execution of multiple association meetings, conferences, and events. This role serves as a key liaison between clients, vendors, speakers, sponsors, and attendees to ensure every event is executed with excellence and attention to detail.
Key Responsibilities
Lead the planning and execution of association conferences, meetings, and events, both virtually and in person
Conduct site selection research and manage hotel/venue sourcing and negotiations for future meetings and conferences
Manage contractor/vendor selection, budgets, contracts, and negotiations based on proposals and event needs
Oversee housing block management and attendee accommodations
Coordinate exhibit and sponsorship opportunities, including sales and fulfillment
Develop and coordinate marketing materials and event communications
Manage attendee registration processes and customer service support
Execute on-site event operations including registration, VIP management, breakout sessions, meal functions, and special events
Support strategic planning, budget development, and operational implementation for client organizations
Serve as the primary liaison between clients, venues, vendors, speakers, sponsors, and internal teams
Coordinate conference programming, including themes, speaker/session selection, scheduling, and room assignments
Manage speaker recruitment, communication, and logistics
Plan and coordinate special events, receptions, and banquets
Qualifications & Skills
Proven experience managing meetings, conferences, or events from concept to execution (virtual and in-person)
Strong understanding of budgeting, financial management, and contract negotiation
Experience with database or association management systems preferred
Exceptional organizational and project management skills with strong attention to detail
Outstanding customer service and relationship-building abilities
Ability to successfully manage multiple projects, deadlines, and stakeholders simultaneously
Comfortable working in a fast-paced, deadline-driven environment
Strong communication and problem-solving skills
Ability to work effectively with diverse groups of volunteers, members, vendors, and partners
A proactive, team-oriented attitude and willingness to jump in where needed
