The Director of Events & Expositions coordinates all IAA events. This includes 10+ events throughout the year, several meetings, and our large Midwest Multifamily Conference located in Indianapolis which includes a trade show with 240 booths.
Essential Job Functions:
Prepare and coordinate logistics for the Association’s events and conference as well as performing association management functions. This includes but is not limited to:
Create and send annual RFPs for all conference vendors as well as any additional venues/vendors needed throughout the year
Negotiate hotel contracts, special venue contracts, AV rental, food and beverage costs, and speaker rates
Coordinate event orders and BEOs with all contracted venues
Facilitate booking of event vendors
Recruit, contract, and schedule all speakers that may be needed for the event.
Produce scripts for events and work with outside vendors
Create and manage event budgets
Coordinate travel and lodging for conferences
Create and secure sponsorships for various events
Promote and sell exhibit space at the annual conference
Work with the communications department to create a comprehensive marketing plan for each event
Create post-event surveys to evaluate the planning, execution, and content of events
Complete comprehensive event recaps based on staff feedback, attendee feedback, and personal experience to improve the attendee experience
Volunteer Coordination:
Develop and maintain strong relationships with member base
Staff liaison for two committees: Events and Convention Committees
Set schedule of committee meetings, create agenda, take minutes, assign responsibilities to meet specific event goals
Recruit committee members and committee chair
Assign and oversee committee volunteers at all events

Exceptional organizational, prioritization, and time management skills to handle multiple events and projects simultaneously
Excellent communication and interpersonal skills to engage with members, clients, vendors, and coworkers
Must have a positive, engaging, and team-oriented view on the workplace
Understanding of financial management and budgeting principals
Proven track record of proficiency in event management
Founded over 90 years ago, the Indiana Apartment Association is a statewide trade association for professionally managed multifamily housing. IAA represents over 280,000 homes in legislative, legal, and regulatory matters at all levels of government. IAA provides services, products, educational programs, and networking opportunities to property management companies and their managed communities to promote ethical, quality rental housing throughout Indiana.
IAA is comprised of diverse property types, property management companies, and suppliers who support the industry. Members of IAA include large corporations, family-owned businesses, and small individual owners. Properties are located in large metropolitan areas and small rural communities. Member properties range from high-end luxury apartments to affordable properties, including government-assisted properties.
IAA is led by a volunteer board of directors reflective of its membership. Leadership meets monthly to discuss issues and challenges facing the industry. Membership in IAA is voluntary for property owners in the multifamily housing industry.
Throughout IAA’s long history, it has always been a leader in advocacy ...for the rental housing industry, serving as the only organization statewide dedicated to protecting and promoting rental housing. Additionally, IAA has been at the forefront of innovative products and services supporting the multifamily housing industry, including creating an online leasing product, establishing several credentialed education programs, hosting an annual regional multifamily housing conference, and founding an answering service and apartment guide to support our members’ needs.
