SUMMARY:
We are seeking a highly organized and experienced Meeting Planner to join our team. As a planner, you are responsible for the coordination and execution of both in-person and virtual trainings and conferences. Our education team of 8 full-time planners successfully executes over 230 events annually, reaching over 11,000 attendees. Attendance at these individual events ranges from 30 to 1,400 attendees.
JOB DUTIES:
Responsible for logistics for in-person training events such as: negotiating hotel room rates, ensuring adequate training space, presenter travel arrangements, food and beverage recommendations, audio/visual support and all necessary details for implementing training events.
Set up and facilitate virtual trainings via Zoom meetings and webinar format.
Lead technical support during live meetings (i.e., spotlight speakers, mute microphones, play videos, enable captioning, handle technical issues, etc.)
Lead rehearsal meetings for events, preparing trainers to be the best they can be in front of an audience
Provide technical support for hybrid conferences.
Develop brochures, flyers and registration forms for promotion of training events.
Financial accountability to include budget preparation, reconciliation and processing travel expense reports.
Negotiate contracts with training venues for meeting space, catering and overnight room rates.
Prepare all event support materials such as nametags, tent cards, agendas, handouts, etc.
Manage Continuing Education Credits for trainings and conferences for Social Work, Nursing and Substance Use Disorders.
Work with multiple committees and stakeholders.
Maintain accurate database.
Arrange travel for presenters and staff when required.
Assist with speaker management for conferences and training events.
Provide on-site coordination for trainings and conferences throughout Michigan.
Continue professional development to stay current on industry standards, practices, and technology.
KNOWLEDGE/SKILLS:
Strong customer service focus
Project management skills including the ability to proactively pre-plan event logistics, identify potential problem areas and implement appropriate solutions
Ability to execute tasks in a thorough, accurate and timely fashion while managing multiple, competing priorities
Prioritize training projects and organize within project timelines
Strong communication and interpersonal skills
Facilitate and run virtual and hybrid meetings/conferences from the technical and moderator role.
Experience at working both independently and in a team-oriented, collaborative environment
Excellent attention to details
Proficient in Microsoft Office Suite, Zoom, and email marketing
Strong ability to problem-solve technical issues and database management.
Preferred, but not required, previous experience coordinating conferences with multiple concurrent sessions.
JOB LOCATION/WORKING CONDITIONS:
CMHA is an at-will employer.
CMHA currently operates in a hybrid environment (2 days/week in Lansing headquarters).
Business hours at 8am-5pm (work hours are flexible between 7am-6pm).
A dedicated office space and remote equipment/tools will be provided.
Travel within Michigan required to attend events. This is a shared responsibility among all meeting planners.
Must have the ability to lift and carry supplies (40 lbs. or less), navigate stairs if necessary.
Must have vehicle to transport training materials.
COMPENSATION AND BENEFITS:
Starting salary: $57,978 plus benefits outlined below:
