Job Summary
This position is responsible for all aspects of the meeting planning process for AMS (Association Management Services) and NPMA conferences and events as part of a professional meetings team that produces a total of over 40 events each year. This includes meeting logistics, registration processes, speaker and exhibitor coordination, assistance with recertification process, budget management, on-site logistics and post meeting close out. In addition, this position will focus on exhibit sales, sponsorship administration and fulfillment for all NPMA and AMS meetings.
Primary Responsibilities
Direct communications with exhibitors and attendees
Coordination with exhibit decorator for booth set up and dismantling for conferences
Build and maintain relationships with vendors, suppliers, members and exhibitors
Plan, implement, manage and evaluate conferences
Online registration set-up, data-entry, invoicing, event confirmations using Aptify database
Plan and execute major aspects of meeting management to include assistance in developing educational program, building registration process, and providing on-site management meetings
Manage meeting vendors for delivery of services to include food and beverage, production, entertainment, transportation, housing and security
Monitor and track budget, registration, and housing for conferences and meetings
Successfully communicate with hotels/convention centers regarding the specific details of the meeting including banquet event orders, special event needs and vendor set-up
Travel to and implement conferences and events including pre-conference meetings with hotel/business partners, registration, exhibit hall coordination and food and beverage guarantees
Purchasing and shipping of conference materials needed for all meetings
Organize and manage sponsorship opportunities, solicitations, billing and fulfillment for all NPMA and AMS events.
Manage exhibitor registration process for all NPMA and AMS events.
Other duties as required
