The Education Meetings Specialist will work closely with the Education Director to assist with the planning and implementation of premier academic physiatry events and activities, including the AAP Annual Meeting. The Education specialist will assist with housing, scheduling, speaker coordination, food & beverage management, onsite management, logistics and more.

DUTIES & RESPONSIBILITIES:

• Handles housing; monitoring the AAP room block and coordinates housing for AAP staff, speakers, etc. Researches, evaluates, selects, and negotiates contractors for audio-visual, exhibitor services, photography and transportation services.
• Manages registration logistics including processing registrations. Distributes vouchers to Academic Partners, manages onsite operations, prepares packets and ships materials to the meeting site.
• Handles all planning and on-site management regarding logistics such as FB, AV, vendors, etc. for meetings
• Advises and collects relevant materials from meeting speakers such as procedural guidelines, honorariums, expenses, disclosures, handouts, etc.
• Handles reconciliation of the invoices from annual meeting for the hotel, vendors, and speakers. Creates a financial report detailing the overall revenue and expenses from meetings and compares to previous years.
• Maintains reports on a monthly/weekly/daily basis as needed to update the society on event progress.
• Advises speakers and content experts on AAP policies and collects relevant materials expense sheet, honorarium forms, disclosures, handouts, etc.
• Monitors inventory and orders supplies for meetings as needed prior to and following each meeting.
• Staff liaison to the AAP Program Committee to develop annual meeting content reflective of the evolving profession.
• Manages proposal submissions for all courses and workshops including the acknowledgment and acceptance processes.
• Plans other meetings as necessary including other educational meetings, Board meetings, committee meetings, etc.
• Creates program evaluations and analyzes results to report to the Board of Trustees and the Program Committee.
• Ensures CME activities are fully compliant with ACCME.

 QUALIFICATIONS:

• 3-5 years of association experience with working knowledge of issues related to continuing medical education preferred.
• 3-5 years’ experience in the meetings industry and/or event planning and management.
• Proficient knowledge of Windows Operating Systems, Microsoft Applications, databases, webinar programs and internet-based research. Knowledge of Cadmium and YourMembership desired.
• Strong communication, writing and organizational skills.
• Ability to work effectively as a team member and independently.
• Bachelor’s degree from an accredited institution or equivalent combination of association experience and education. CMP designation a plus.
