Meetings Coordinator - Hybrid - Rosemont, IL
The Meetings Coordinator will support a high-impact team of meeting planners and work collaboratively with other departments to successfully implement Academy initiatives. This position will focus on supporting the operational logistics of the Annual Assembly, stand-alone courses and 30+ committee meetings throughout the year work on other projects as assigned. In addition to the Meetings team, this position will be involved in supporting the Education team.
Essential Duties and Responsibilities:
- Responsible coordinating all committee meetings and in-house logistics (Food & Beverage, Set-ups, and ordering supplies).
- Performs general administrative functions, including tracking expenses, preparation of department’s financial reports, travel planning assistance for staff, faculty, and committee members, ordering supplies and setting up conference calls.
- Recruits and schedules volunteers for in-person educational courses.
- Contributes to Annual Assembly logistics and all other conference areas as necessary.
- Performs other duties as assigned by the Director of Meetings and AED, Education.
- Ability to organize, structure, and communicate information clearly.
- Superior organizational skills with demonstrated ability to complete multiple tasks with tight deadlines.
- Capable of setting priorities when multiple demands are present.
- Excellent oral and written communication skills with special attention to detail.
- Technically savvy on current technology (Microsoft Office Suite and Adobe) and able to quickly learn new skills.
- Ability to effectively collaborate within and across departments to achieve both departmental and organizational goals
- Ability to assess and articulate ways to improve processes and programs.
- Maintains high professional standards of integrity, ethics, and commitment to the goals of AAPM&R.
Education and Experience:
- Bachelor’s Degree or equivalent experience
- Experience in meeting planning and association management a plus.
