This is an entry-level position responsible for the management of all IADR/AADOCR awards, fellowships and grants. IADR/AADOCR is seeking a candidate with proficiency using the Microsoft Office suite, specifically Excel PowerPoint and Teams. This position requires administrative experience, awards management experience, and verbal and written communication skills. The individual must be extremely detail-oriented and have the ability to work on several projects concurrently. The individual must be available for annual travel. A bachelor's degree is required.
This position is designated as management-level “exempt” under the provisions of the Fair Labor Standards Act and reports directly to the Director of Strategic Programs.
As part of the Administration Department, the Awards, Fellowships and Grants Coordinator will be responsible for all administration and management of the IADR and AADOCR Awards, Fellowships and Grants program and will:
- Serve as the main liaison to all awards committees.
- Serve as liaison with National Student Research Group (NSRG) officers and management of NSRG awards.
- Collect, verify and provide schedule, criteria, review, and candidate information to Committee members.
- Ensure the review process is in place and being conducted per Association guidelines.
- Communicate with all award recipients and collect information annually.
- Prepare, organize and process all correspondence/mailings and maintain files pertaining to awards programs.
- Collect information from recipient for annual meeting (i.e. media lists, personal information for payment, photos).
- Solicit financial support from company sponsors and membership (including invoicing), and distribute award funds appropriately to award recipients.
- Prepare, send, and track invoices and thank you letters to Fellowship/Award sponsors.
- Maintain lists of Fellowship/Award competitors, recipients and sponsors.
- Provide awards information for marketing and annual meeting Opening Ceremonies (Annual Reports, Proceedings, Press Releases, etc.)
- Prepare General Session Opening Ceremonies and award reception scripts, PowerPoint presentation, brochure and award plaques and trophies.
- Other duties as required.
Qualifications
- Bachelor’s Degree required
- Minimum of 2-3 years work experience, preferably in an Association
- Excellent customer service and oral & written communication skills
- Proficiency with awards submission data management
- Proficiency in all components of Microsoft Office
- Display a high level of detail and accuracy
- Ability to travel up to 2 times per year (10% internationally)
