The American Veterinary Medical Association (AVMA), the national nonprofit association established in 1863 that represents more than 99,500 veterinarians working in private and corporate practice, government, industry, academia, and uniformed services, is seeking an Administrative Coordinator to join our Convention & Meeting Planning team, located at our Headquarters office in Schaumburg, Illinois – a northwest suburb of Chicago. The AVMA’s mission is to lead the profession by advocating for its members and advancing the science and practice of veterinary medicine to improve animal and human health.
Under the general direction of the Division Director, the Administrative Coordinator provides administrative support to the Division Director and the Convention & Meeting Planning Division. The position is responsible for providing administrative support to divisional programs, including exhibits and sponsorship; the Annual Convention and the Veterinary Leadership Conference (VLC); along with logistics and scheduling for meetings held at AVMA offices. They will also assist with the administration of AVMA’s digital education platform, as needed.

- Bachelor’s degree or equivalent experience
- Minimum of 3 years of related administrative, or meeting planning experience is required, nonprofit association experience is preferred
- Excellent interpersonal and communication skills (written and verbal), with the ability to interact with all levels of the organization
- Highly organized and detailed-oriented, with the ability to plan and manage multiple projects
- Proficient with MS Office applications, spreadsheets, and databases; and have the aptitude to learn new programs
- Must be analytical and a problem solver
- Ability to work independently with limited instruction, and exercise judgement within defined parameters
- Flexibility to work outside of normal business hours, and travel on behalf of the Association (up to 10%), as needed
