The National Security Space Association (NSSA) is seeking a bright, energetic, self-motivated, detail-oriented meeting planner to lead planning on behalf of the association.
NSSA (www.nssaspace.org) is a non-profit support association solely dedicated to the National Security Space enterprise. NSSA works to advance long-term cooperation among industry and government, leading the way with expert opinion, insight and analysis. This position is part of the support contract that Velos has with NSSA.
Reporting to the Director of Operations, the Senior Manager of Event Operations will lead the planning and execution of all aspects of NSSA's meetings and events.
Duties and Responsibilities
- Leads the coordination of conferences and events, on-site and virtual, in collaboration with the NSSA team including planning, registration, logistics, onsite activities, sponsorship fulfillment, and post-meeting management.
- Support event and overall NSSA communications and efforts.
- Serve as liaison for coordinating services, such as accommodations and requirements (meeting room and hotel room assignments, meal functions, signage, technology and audiovisual, special needs, security, printing, etc)
- Create and manage event budgets in collaboration with NSSA staff
- Support the NSSA staff with logistical planning correspondence with conference speakers and vendors to assure speaker and other conference logistical requirements are met.
- Compile and maintain a list of potential venues for use for future meetings of all types (conference, exhibition, dinners, receptions etc.)
- Venue contract review and negotiation
- Serves as the main POC for on-site management of designated meetings.
- Review all invoices received for events and submit to accounting for processing.
- May oversee the work performed by temporary staff and volunteers.
- Stay abreast of industry trends and best practices.
- Provide general support for NSSA team members as needed.
Experience/Requirements
- Bachelor's Degree.
- A minimum of 5-7 years of experience in meeting planning. Experience with non-profits/association strongly preferred.
- Excellent oral and written communication skills.
- Strong organizational skills and ability to consistently meet deadlines.
- Ability to work in a fast-paced, dynamic environment while meeting deadlines and attending to the smallest of details.
- Outstanding interpersonal skills and ability to build effective working relationships.
- Ability to manage multiple priorities and work independently and as part of a team.
- Ability to travel including weekends.
- Proficient in Microsoft Office.
- Experience in national security a plus
- CEM, CMP and CGMP certifications are a plus
- Active security clearance a plus
