The International Association for the Study of Lung Cancer (IASLC) is the premier international membership association for physicians, researchers, and medical professionals, who are dedicated to conquering lung and thoracic cancers globally. We are seeking an Administrative Assistant with technical and organizational skills to work collaboratively with our staff to ensure that our office functions smoothly and efficiently.
Day to day, the Administrative Assistant provides a variety of general administrative, clerical, and technological support that facilitates the efficient and productive operation of the IASLC office.
This full-time, nonsupervisory position reports to the Executive Assistant and is based at our downtown Denver office on a hybrid work schedule.
In this role, you will:
- Provide general administrative support, including calendaring, email communications, data entry and electronic file organization.
- Assist with coordinating and scheduling executive and Board meetings, travel, as well as executive/Board projects and other events
- Plan, schedule, and organize appointments, meetings, and video conference calls
- Manage, maintain, and train staff on key office technology platforms and hardware and internal phone system
- Provide facility support and conference room coordination through communications with landlord and building security
- Purchase office supplies, including management of vendor accounts and maintaining accurate inventories of supplies & equipment in office and remote locations.
- Responsible for effective organization and maintenance of office supplies, computer equipment, publications, and conference materials
- Assist in the coordination and planning of monthly staff meeting and other staff events, including food/beverage orders for internal meetings.
- Coordinate, prepare shipments, and track packages for FedEx and UPS shipments and communicate shipment status to staff. Sort and distribute incoming and outgoing mail.
- Manage fulfillment for Fonteva EStore and maintain publications webpage.
- Assist HR with onboarding of new employees, as related to office procedures/systems and equipment needs
- Provide office and facilities support through communication with landlord and building security and track office-space adjustments.
- Communicate professionally and effectively with staff, members, vendors and third parties.
- Other administrative duties as assigned.

- Compensation: $24.00-26.00 per hour, depending on related experience.

A successful candidate will have the following qualifications:
- A strong commitment to the mission of the IASLC and compassion for those living with a lung cancer diagnosis
- Associates degree, Bachelor’s degree preferred
- 4-5 years proven administrative or general office experience
- Proficiency with office systems and procedures, as well as operation of standard office equipment
- Strong technical skills with proven aptitude for learning, configuring, and integrating new technologies into workflow
- Advanced proficiency in MS Office Suite (Word, Excel, PowerPoint, SharePoint, and Outlook), virtual conferencing, and association management system (AMS) or customer relationship management (CRM) platforms
- Professional written and verbal communication skills
- Ability to communicate and collaborate effectively in a team environment
- Excellent time management and ability to prioritize and work independently
- Ability to maintain discretion and confidentiality
Demonstrated proficiency in prioritizing, organization, time management, and project management with strong attention to detail - Multilingual fluency/literacy would be a plus
