About the position: The Membership and Communications Coordinator is a new position designed to serve as the primary point of contact for all communication and membership-related activities as well as for provide administrative support to the Membership Manager, Communications Manager and Executive Director.
About CANA: CANA is a 100 year old startup with a nimble, responsive, fast-paced culture. There is a seasonal flow to the work so every day presents new challenges and opportunities. The office environment is quiet to promote thoughtful work and concentration, with an open-door atmosphere to facilitate collaboration. Some staff travel frequently, so flexibility in communication is an advantage.
Each of the six current staff members are valued and form a strong team. Their individual backgrounds, education and experiences strengthen the association. In addition to paid staff, the association is led by volunteers who serve on the board of directors and advisory groups.
All employees are expected to stay informed of all association activities and assist each other with projects and tasks as needed. This is a flexible work environment. While we maintain set office hours each week, flex time is an option when needed, as well as work from home. Staff are held to high standards and enjoy regular opportunities to advance the profession.
Essential Functions Membership - Provide outstanding customer service to CANA members, potential members and the public through phone, written and email communications, responding to inquiries on a daily basis.
- Prepare and mail membership recruitment packages to prospective members.
- Process new member applications and renewals; assist with membership billing and renewal invoicing process.
- Contact new members as part of the on-boarding program; prepare and distribute new member packets on a weekly basis.
- Manage, monitor and update CANA member information through Your Membership database.
- Support membership reporting and data collection.
- Collect, input, and maintain all committee and board member participation history in Your Membership database; maintain committee information on CANA website and related lists.
- Prepare and mail recruitment packages to prospective members, membership packets to members, and dues and renewal notices to current members in a timely manner. Support the execution of mass mailings and emails as directed by the Communications Manager.
- Process new member applications and renewals; coordinate the membership billing and renewal invoicing process; maintain department files. Maintain related systems.
- Manage, monitor, and maintain member information and membership database. Support membership reporting and data collection. Maintain related systems.
Communications and Marketing - Support all print and media communications activities of the Association in coordination with the Communications Manager, including but not limited to public relations, media relations, membership communications, and all association publications.
- Maintain all aspects of the Association's online presence in coordination with the Communications Manager, including assistance in maintaining the CANA website. Adhere to the standards, processes, and guidelines set for social media and online communications for staff.
- Support the development, production and scheduling of the Association’s principle publications.
- Assist in maintaining the CANA website.
- Develop, write, and edit material for the Association's publications, as directed by the Communications Manager.
- Support the distribution of press releases, statistics and other materials relevant to Association members, as directed.
- Support the distribution of alerts to members concerning legislative and other matters important to the membership.
- Execute mass mailing and blast emails as directed by the Communications Manager.
- Maintain the photo and video database and collateral for the Association.
- As needed, attend and take minutes for all meetings of the Magazine Committee, as well as CANA events and conferences.
- Participate marketing and communications planning and implement marketing projects.
Administration - Distribute promotional mailings, meeting notices, agendas, and meeting materials for members as requested.
- Generate materials as needed for the Board of Directors for all matters regarding marketing and communications.
- Crosstrain with Education Coordinator to provide:
- support for events,
- make changes in database as required,
- process, distribute and meter all inbound/outbound mail,
- triage all association phone calls and email inquiries and redirect to appropriate staff person or resource,
- process open invoice payments and prepare bank deposits. Scan, file and track key financial document per procedures,
- support the executive director, communications manager and membership manager by managing filing, scanning, copying and electronic files,
- track, order and/or purchase office supplies, and all needed CANA supplies and printed materials.
- provide bookkeeping support, and works in conjunction with the Executive Director and the Bookkeeper.
- Adhere to legal, professional and ethical codes with respect to confidentiality and privacy.
Nonessential functions - Cover duties of Education Coordinator as needed.
- Maintain office equipment, and complete routine IT/computer maintenance. Coordinate the use of the IT consultant around larger problems.
- Manage office inventory and order supplies.
- Occasional travel to CANA events.

Education, Licensure, Certifications, Experience:
- Minimum Education/Training Requirements: Some college. Associates or Bachelor's degree.
- Minimum Experience: none
- Previous experience in a member-related or association environment preferred.
- Experience with association management and/or customer relations databases preferred.
