Eisenman & Associates, Inc. (E&A) is seeking a Meetings & Events Manager to work with our growing team of professionals. The ideal candidate will be self-motivated, proactive, and a detail-oriented team player. Knowledge in hotel contracting, meeting and event planning, and association management is key.
This position is based in our Richmond office, with opportunity for remote work. Travel within Virginia is required, up to 30 overnights annually. Minimal travel outside of Virginia is required, up to 15 overnights annually.
Duties include but are not limited to:
- Researching potential sites for meetings
- Developing, revising, and distributing RFP’s to selected hotels/venues
- Collecting proposals and creating a comprehensive spreadsheet to provide to clients
- Scheduling site visits
- Requesting and collecting contracts from selected facilities
- Reviewing contracts to verify all terms are as requested
- Corresponding with clients regarding reminders/updates, cutoff dates, pickups, deposits due, etc.
- Managing speakers, travel, rooming lists, and event orders
- Creating and managing budgets
- Processing invoices and expense reports
- Managing paper flow and progress of all consulting clients
- Assist in exhibition and tradeshow management
- Other consulting or association management duties as assigned to support E&A clients
- 3+ years of meetings/events experience, preferably for a professional society, association, association management company, corporation or direct experience in sales or conference services in the hospitality industry.
- Excellent customer service skills for interactions with clients, meeting attendees, vendors, and members.
- Strong communication (written and verbal), proofreading, time management, and organizational skills.
- Exceptional project management skills with attention to detail.
- Proficiency in Microsoft Office Suite.
- Problem solving, analytical thinking, and ability to work on multiple tasks independently as well as collaboratively in a team environment to meet deadlines.
