Position Purpose: The Grants Manager administers and provides strategic management of AACE's grant development, review, submission, and procurement processes. Job functions include: developing proposals, seeking support and grant funding for existing programs and new initiatives (including accredited continuing education activities); liaising with AACE’s strategic alliances; ensuring the timely and accurate management and administration of grants and support agreements, and reports/reconciliations; ensuring timely and proper cultivation, acknowledgement, and stewardship of institutional supporters.

What You'll Do:
Support the Director's efforts in coordinating grant proposals and support requests, including planning, document gathering, internal and external communications, writing proposals and collateral material, and final submissions.
In cases where external contractor services are used to assist in proposal development, the Manager may assist the Director in identifying, procuring, and managing these services.
Develop and maintain an in-depth understanding of grants, donor compliance, and budget conditions and status.
Maintain a broad and deep understanding of donor policies, regulations, and procedures and share this knowledge among programs and operations team members.
Ensure all grant applications are responsive to the solicitation or requirements and that both the content and format are compliant with the funders' requirements; ensure that the correct forms are utilized for all necessary attachments. Identify Request for Proposals (RFPs), Call of Grant Applications (CGAs), Call for Concept Proposals (CCPs) within relevant therapeutic areas.
Collaborate across teams including education, finance, marketing, IT, publications, and relevant program staff to help prepare project level budgets and justifications for grant requests.
Follow-up on submitted applications and proposals, as well as with potential funders.
Develop and coordinates timelines for pre- and post-grant award processes with milestones for reports/reconciliations including financial reports. Facilitates internal and external communications with AACE departments, staff, and committee chairs regarding timelines.
Develop reconciliation/outcomes reports, including budget vs. actual reports (with input from finance and/or external contractors) to address and escalate any projected under/overspend, as well as projected inabilities to meet program/contract requirements.
Oversee the grant tracking process in the Association Management System and contract/letters of agreement tracking with AACE’s legal counsel.
Support and provide material that demonstrate compliance with AACE policies and ABIM MOC and ACCME accreditation. Assist, as needed, with creating/updating policies, procedures, and forms for documentation of grants management and commercial support disclosure.

Who You Are:
Bachelor's degree required.
Three years or more experience with a physician, nurses or physician assistant’s non-profit association required. Two years direct experience with using CRM system (Salesforce preferred), Learning Management Systems, and grant portal systems.
Be self-motivated and proven ability to manage workflow/multiple tasks, external inputs, and available timing to meet deadlines, and produce quality results by deadlines with excellent attention to detail.
Demonstrate personal integrity in interactions with members, staff, and vendors.
Strong relationship-building and interpersonal skills, demonstrated in interactions with peers, supervisors, and organizational leadership.
Experience in managing changing programmatic and communications priorities.
Ability to work both independently, and as a member of a team managing deadlines and communicating effectively to staff across all levels of the organization.
Demonstrated ability to possess and maintain confidentiality of information.
Possess excellent client management and partnership development skills.
Fast learner with a strong team-focused, collaborative mentality.
Possess strong verbal and written communication skills.
Proficiency with MS Office products including Word, Excel, Power Point and Outlook.
Must be able to maintain the highest level of confidentiality.
Must be able to work in a fast-paced multi-tasked environment as a member of a vibrant team.
