The Program Assistantwill report to the Events and Programs Director and will play a critical role in supporting all functions of the MAJ office.
OVERVIEW OF RESPONSIBILITIES:
The Program Assistant’sprimary job responsibilities will include, but are not limited to:
Meetings and Events
Assist with all aspects of events from preparation to on-site registration and event breakdown.
Assist the Director in partnering with MAJ members to plan events by compiling event details, tracking and updating the event calendar, and ensuring deadlines are met.
Monitor trends and best practices in the greater association community as well as bar association/legal fields to inform MAJ’s programs.
Assist with researching and gathering information on event locations (venue, cost, capacity, etc.).
Membership and Communications
Assist with membership recruitment and retention efforts.
Assist with processing membership applications and renewals.
Act as a database “power user” ensuring accurate information and updates are maintained.
Assist with careful proofreading of MAJ email and print communications.
Assist with MAJ social media and communications efforts when appropriate, especially related to event promotion.
Answer telephones, route calls to appropriate individuals, and take messages as needed.
Process incoming mail and log payments received daily.
Manage office and event supplies to include maintaining inventory and placing appropriate orders as needed.
2-4 years of administrative experience and prior experience handling event planning/ coordination, memberships, and communication efforts is preferred.
Strong technical knowledge is required with a proficiency using the Microsoft Office Suite (Word, Excel, Outlook) and Adobe Suite and ability to learn new systems quickly.
Strong business acumen and sense of professionalism with confidence interacting with individuals at all levels of an organization.
Excellent grammar and writing skills including proofreading and editing.
Strong time management skills with the ability to multi-task, prioritize competing tasks or projects, and meet deadlines in a fast paced, demanding environment.
Ability to work under pressure and operate with a sense of urgency to meet tight deadlines.
Resourceful, proactive, and self-motivated with a collaborative, team player mentality.
Must have reliable transportation with the ability to travel locally in Maryland for events.
Ability to work remotely/hybrid schedule and the flexibility to work outside of normal business hours on occasion to assist with the set up/breakdown of events.
