ISAKOS seeks an experienced, ambitious association management professional to manage the growing programmatic needs of the ISAKOS Biennial Congress and other in-person congress/meeting initiatives aligned with the society’s strategic goals. This position will support the work of the Program Committee and Traveling Fellowships Committee, while also working with other ISAKOS Committees to execute Congress-related and in-person programs.
This position manages scientific program planning for the ISAKOS Biennial Congress, the premier international medical meeting for specialists in arthroscopy, knee surgery, and orthopaedic sports medicine. The ISAKOS Congress features a strong scientific program that provides a variety of new preventative, therapeutic and surgical technique information, allowing participants from around the world who attend this meeting to expand their knowledge and enhance their surgical skills. This position explores and recommends new technologies and trends to help take the ISAKOS Congress to the next level, while also attending relevant meetings to understand developments in the field and identify new opportunities for change and improvement.
This position is responsible for supporting the Program Committee as a staff liaison, working closely with the program chairs to fulfill committee charges and goals for the Congress. In addition, this position is responsible for coordinating support for the Traveling Fellowships Committee, working closely with the chairs to fulfill committee charges and goals for traveling fellowships, including the marquis “ISAKOS Global Traveling Fellowship” program that engages fellows from every region of the world in an ISAKOS fellowship.
Primary duties and responsibilities include, but are not limited to:
Program Management for ISAKOS Congress
Develop guidelines for invited sessions for the scientific program, and manage the overall process of proposal submission, evaluation, speaker management, and communication.
Stay current with industry/association trends to ensure Congress programs reflect best practices in adult learning and technology.
Manage abstract submission, review, and selection; facilitate publication of Congress abstracts with Journal of ISAKOS Editors and publisher.
Provide email management for a large volume of program-related emails; ensure timely, detailed responses in response to inquiries.
Coordinate chair and faculty invitations, ensure timely responses, and help coordinate replacement invitations, in collaboration with Program Chairs.
Manage the speaker database and serve as a main point of contact to communicate with faculty to secure bios and facilitate uploads of slide presentations and recordings, etc.
Manage the CME processes for Congress, Concurrent Courses and Pre-courses, adhering to ACCME guidelines, ensuring COI disclosures, and submitting required documentation.
Help faculty implement polling, surveys, breakout discussions, and other interactive features of the ISAKOS Congress, to better engage learners.
Administer Congress attendee survey and certificates, report on survey feedback
Participate in documenting requirements for a Conference Management System and assist with system implementation/upgrades to improve faculty management, abstract management, etc.
Document Standard Operating Procedures (SOPs) for Congress program support.
Program Management for ISAKOS Awards & Fellowships
Manage timely and efficient processes for awards applications, review and notifications, and registration support, in collaboration with committee chairs and ISAKOS teammates; facilitate process for manuscript submissions and selection of manuscript award winners.
Manage traveling fellowships, to include applications, review and selection, notifications, travel and registration support, support and communication, as well as effective execution of on-site presentations at Congress; work with Finance Manager to administer programs.
Serve as a main paint of contact to communicate with applicants and with winners.
Assist with onboarding/coordination of a travel agency to assist with traveling fellowships.
Participate in developing reports/reporting templates.
Collaborate on recognition of Awards and Fellowships winners.
Coordinate updates to all related Awards & Fellowships webpages, documents, emails.
Document SOPs for ISAKOS Awards & Fellowships processes.
Program Management of ISAKOS Symposia at Partner Society Congresses, Society Collaborations
Assist with topic selection and faculty management, including invitations, responses, etc.
Serve as a point of contact in communication with faculty regarding their commitments, including bios/photos, presentation uploads, AV needs, travel support/reimbursement
Work with teammates to ensure effective registration, marketing, and technology support for ISAKOS Symposia, Pre-Courses, Specialty Days, etc.
Document SOPs for ISAKOS Partner Society processes.
Education: Bachelors’ degree required.
Experience: 5+ years of professional experience in a position(s) with similar functions; demonstrated conference/meeting management experience required. Experience with scientific associations or medical societies is a plus. Qualified individuals will be detail-oriented, have excellent organizational skills, have the ability to manage/plan at the operational level and set priorities effectively, work effectively both as an individual and as part of a collaborative team, and have the confidence to interact with high-profile professionals. Proven experience working with physicians, and knowledge of continuing medical education (CME) a plus.
Proven skills with using a conference management system or related technology.
Committee management and administrative support skills required.
Excellent customer service, problem-solving, writing, and interpersonal skills.
Skilled in using Microsoft Office tools, Adobe Acrobat, Google drive/email/calendar, and Zoom or similar meetings platform.
Experience with Asana or similar project management tools a plus.
Working Conditions/ Travel:
Flexible Hybrid Remote/Office Workplace
Work in the Office a minimum of 1 day/week preferred
Participation in and coordination of online international teleconferences and face-to-face meetings (may take place outside of standard work hours/days)
Limited travel in the US and abroad, as needed
