The Legal Operations Associate coordinates AAOS’s contract review, approval, execution, and retention process to enhance department operations, efficiency, and responsiveness. Provides primary administrative and client-facing technical support for AAOS’s electronic contract management platform. Drafts training materials and other resources to educate staff on the electronic contract management platform and other Office of General Counsel (“OGC”) services. Provides administrative support for the AAOS Professional Compliance Program, as requested. Establishes and maintains files for the OGC, including files regarding litigation, invoices, and legal filings. Performs a wide variety of detailed and complex administrative tasks for the OGC, frequently of a confidential nature with minimum guidance. Assists with reports and other spreadsheet-based tracking projects, and permission requests for use of AAOS intellectual property. Provides special project and other support to the OGC, as needed.
Provides administrative services to General Counsel and Assistant General Counsel. Prepares committee agenda books as needed. Conducts basic legal research under the direction of the General Counsel or Assistant General Counsel. Assists with phone calls and emails from the public, staff, or members, researching and/or providing information requested. Updates and maintains the departmental webpages on the company intranet and internet.
Establishes, organizes, and maintains files, including files regarding litigation, invoices, and legal filings. Is able to provide documentation and information about files in a timely manner. Knowledgeable about the status of various AAOS legal cases.
Oversees and coordinates the AAOS contract review, approval, execution and retention process. Ensures contracts are viewed and signed within timelines. Tracks, retains and files fully executed contracts for future reference. Provides primary administrative and client-facing technical support for AAOS’s electronic contract management platform. Submits tickets with third-party vendor to resolve issues with contract management system. Assists General Counsel and Assistant General Counsel in the preparation of bi-annual contract reports. Conducts contract orientation training for new staff. Assists Assistant General Counsel with the development of additional training topics and materials, as well as updates to those materials, including posting on the internal website.
Supports the Assistant General Counsel and the Compliance Specialist in the administration of the AAOS Professional Compliance Program. Serves as meeting organizer for virtual grievance hearings.
Processes departmental invoices for payment; maintains accurate and organized accounts of OGC expenses, including payments from insurance companies. Submits legal invoices to insurance carriers, where applicable, for reimbursement.
Receives, routes, and prepares correspondence for the OGC, independently whenever possible, preparing drafts for review within established guidelines, such as cease and desists letters, responses to patient complaints, and contract termination notices.
Assists with presentations, reports and other spreadsheet-based tracking projects. Provides special project and other support to the OGC, as needed.
Maintains a high level of skill with Microsoft products. Strong drafting and proofing/editing skills. Must be able to create, update, and manage programs/formats, tables of contents, Adobe documents, PowerPoint presentations, export queries, and pivot tables. Must be able to review and understand spreadsheet data and explain data sets to the OGC and clients.

Minimum of 2 years of college-level study
Minimum of 2 years of contract management or another database experience

This position is based in Rosemont, Illinois and is open to applicants who are able to relocate to commuting distance to that office.
