The Education Event Coordinator assists in the administration of in-person events. Working closely with the Manager, Education and Member Services and volunteers, this position assists with the execution of in-person education events. Ensures all in-person education programs, including Annual Meeting education sessions, operate efficiently and effectively from contract to delivery.
Principle Duties & Responsibilities:
With approval of manager, contract all venues for AAPL in-person education events, except Annual Meeting.
Coordinate the production and/or assembly of all on-site materials, including registration packets, signage, handouts, books, and supplies for the registration desk. Package and ship material to venue in a timely manner.
Attend events in-person as needed to manage event on-site (setup, registration, food & beverage, technology) and to provide support to speakers as necessary.
Assist with event setup via the web, association management system or learning management system.
Assist with event speaker management, including speaker customer service, the collection of speaker biographies, materials, and contact information, registration, transmittal of event information and logistics, collection and dissemination of presentations, and organization of speaker details.
Assist with event registration, including general inquiries, weekly reports, substitutions and refunds, communication and notification to all event participants, and organization and distribution of attendee materials.
Respond to inquiries regarding education, membership and certification and manage the team email box, as assigned.
Assist in ensuring fulfillment of sponsorship benefits for all sponsorships related to events.
A minimum of a two-year degree is preferred, but not required, high school degree or GED required.
Event planning experience preferred.
Proficient in Microsoft Office Suite.
Possess outstanding organizational and time management skills.
Possess a positive attitude with ability and willingness to provide excellent customer service to internal and external customers.
Proven problem solving skills.
Strong ability to communicate effectively orally and in writing.
Deal effectively with time pressures, stress, and rapid change
Work is performed mainly in an office environment with minimal exposure to injury. Work hours are normally Monday through Friday and will usually average 40 hours per week. Some unscheduled evening and weekend work may be required due to unexpected situations. Up to 35% business travel may be necessary to execute the duties and responsibilities of this position. Must be able to sit and stand for long periods of time. Must be able to lift at least 40 lbs.
