The Events Coordinator is responsible for assisting Chapter Leadership in planning and managing the logistical functions for all local chapter/committee events including, but not limited to budget preparation; site/contract negotiation; site setup details (meeting space layout, catering, audio/visual, other as necessary.); sponsor recognition signs; and speaker (if applicable) communications. Assist with registration procedures, promotional materials and website set-up. Serve as liaison with facility sales staff and committee volunteers. Process follow-up procedures after completion of event.
Review contracts and develop RFPs with vendors.
Work with Chapter Leadership/Committee to ensure accuracy of budget, registration forms, sponsorship information, and any additional details.
Set-up and publish event on MMLA website
Prepare and send email event notifications to database contacts
Work closely with Social Media Manager to advertise the event
Process registrations, confirmations, and handle inquiries on registration, programs for events.
Prepare meeting materials including attendee lists and name badges, if necessary for event leader
Attend and assist on location at events when required
Post-event attendance tracking and collection of registration fees.
