Working on the Advocacy team, this is an entry level position on the reporting to the Managing Director, Government Advocacy & Operations. This role provides administrative and project support to the Advocacy and Relationships department staff and manages its operational functions.
Provide support to the Senior Vice President of Advocacy and Relationships and the Managing Director, Government Advocacy and Operations, including scheduling, travel, expense reporting, and other duties as assigned.
Support the Advocacy and Relationship Team by monitoring and assisting with the operational plan, programs, and key performance indicator tracking, budget, financial, and expense submittals, and scheduling and maintaining files.
Work closely with and manage the quarterly lobbying disclosure data collection process for the Federal Team.
Provides general office management support, such as ordering department supplies, distributing mail, coordinating equipment maintenance and upkeep.
Attend and participate in Advocacy and Relationship Team meetings as a note-taker to facilitate departmental communication, coordination, information sharing, and create reports.
Support the Advocacy and Relationships Team as a content editor on the AIA.org website by collecting updates, adding content, and working with the AIA Content Governance team.
Provide logistical support to the Advocacy and Relationships Team for annual events, including coordinating with the meetings teams and serve as the primary point of contact for project and task groups, including but not limited to maintaining email distribution lists; scheduling and planning meetings; preparing agendas, itineraries, meeting minutes and reports; coordinating logistics, including meals, transportation, and lodging; and providing support to meeting attendees.

Advanced experience with Microsoft Office applications (Word, Excel, Outlook, PowerPoint).
Effective proofreading skills.
Ability to meet deadlines and to track and monitor scheduling and planning activities.
Ability to work effectively in a team environment and to foster and develop confidence.
Some knowledge of the American political system and grassroots/member engagement strategies and tools a plus but not required.
Bachelor's degree in English, Communications, Political Affairs, Political Science, or business-related field preferred. A minimum of two to three years of responsible administrative and program support experience
