Under the direction of and in consultation with the CEO, the Manager of Professional Standards and Risk Management is responsible for providing administrative support to the Professional Standards and Grievance Committees by the dissemination of ethics/arbitration materials and information to the committees, the membership, and to the public in order to uphold and enforce the Code of Ethics. This individual is the central input for all telephone, oral and written complaints and guides them through the process from inception until either dismissal or the full hearing and appeal process has been completed. This individual also provides administrative support to our contract and forms committees and oversees the process of managing the association’s contract and forms libraries. Lastly, this individual assists the Leadership Academy Advisory Work Group in developing the curriculum for the Leadership Academy and provide support to candidates.
Professional Standards Administration
Obtain and maintain certification as a National Association of REALTORS® Certified Professional Standards Administrator.
Oversee all aspects of and serve as primary contact for all matters related to the professional standards
Stay abreast of policy changes affecting the Professional Standards process and make related recommendations.
Offers impartial guidance to consumers, members and others.
Process all requests for arbitration, mediation, ethics citation and /or ethics complaints in a timely
Process all requests for ombudsman assistance in a timely
Prepare association ethics and arbitration cases for the grievance committee review on a monthly
Process Supra violation complaints and present to Citation Review Panel to render a decision
Serve as staff liaison to the Grievance and Professional Standards
Consistently maintain organized files for active and archived cases and inquiries, including but not limited to the maintenance of phone and email customer service between member offices, NAR, neighboring boards and other association staff members.
Gather hearing panels, attends and facilitates hearings to provide administrative support and guidance to hearing
Track compliance with all financial and educational sanctions imposed on Respondents (ethics and Supra if applicable).
Gather and maintain professional standards statistics for internal and external
Schedule and promote committee volunteer
Lead professional standards related trainings for membership.
Oversee the budget for all matters related to the process (e.g., training, legal, etc.).
Work with Leadership Team to identify qualified volunteers to serve as committee members.
Contracts & Forms
Maintain an up-to-date catalog of the association’s residential and commercial library of contracts and forms.
Possess a working knowledge of both St. Louis REALTORS®’ and Missouri REALTORS®’ contracts and forms.
Provide all necessary support to Committees and Task Forces (e.g., create agendas and minutes, disperse to committee members, etc.).
Ensure all online forms platforms (DocuSign, ZipLogic, DotLoop & FormsRUs) are current.
Notify partner organizations and REALTOR Shoppe, in a timely manner, of all contract and forms revisions.
Work with Marketing and Communications staff to develop messaging to inform members of pertinent contract and form changes.
Serve as liaison to neighboring associations that utilize the association’s contracts and forms.
Provide requested support to relevant committee’s and task forces.
Coordinate and oversee relevant educational efforts.
Oversee the budget for all matters related to this process (e.g., legal, etc.).
Work with Leadership Team to identify qualified volunteers to serve as committee members each year.
Work with Marketing and Communications staff to develop marketing materials to promote the Leadership Academy.
Oversee the application process and schedule interviews with applicants.
Attend interviews and provide feedback to Leadership Academy Advisory Work Group on applicants during interview process.
Plan all aspects of each session in accordance with Leadership Academy Advisory Work Group instructions.
Set up travel and hotel for guest speakers in addition to reserving any locations for sessions.
Oversee the budget for all Leadership Academy expenses
Bachelor’s degree preferred
3-4 years of successful credentialing program
Ability to maintain confidentiality of information is essential.
Experience in a nonprofit environment is preferred.
Successful track record in applying proven practices related to credentialing
Excellent verbal and written communications skills, particularly the ability to read, analyze, write, edit reports according to prescribed style/format and correspond with
Ability to effectively present information and respond to questions from groups of managers, peers, volunteers, customers and the general public.
Ability to meet deadlines, as well as the ability to collect data, establish facts and draw valid conclusions, reason and solve
Ability to develop and use spreadsheets and standard business software WORK ENVIRONMENT AND PHYSICAL DEMANDS:
Ability to walk, stand, and sit (including on the floor) for long periods of time.
Must be able to lift and carry supplies weighing up to 20 pounds.
Ability to stand or sit while maintaining alertness for several hours at a time.
Position may require bending, leaning, kneeling, and walking.
Ability to speak concisely and effectively communicate.
Visual and auditory ability to respond to critical situations and physical ability to act swiftly in an emergency
Ability to view/enter data for long periods of time
INTERVIEW PROCESS: Interview with CEO of the association.
Candidates should be prepared to provide three professional references. Job offer will be extended to selected candidate upon passage of a Criminal Background and Employment Authorization Check.
