JOB OVERVIEW: The Association Services Manager is responsible for the comprehensive delivery of association management services to assigned clients. As the leader of a comprehensive client service team for multiple association clients, the position is responsible for service to assigned associations including, but not limited to: conference and event planning and coordination, including on-site staffing; publication production and editing; managing social media, website, and marketing initiatives; membership information management; continuing education program administration; board and volunteer coordination and support; assisting association officers and board members with budgeting and oversight of financial reporting and compliance reporting; and, any other duties necessary for the efficient and effective administration of assigned associations. QUALIFICATIONS: - Bachelor’s degree in Business, Communication, Marketing, or an approved related field is required.
- Certified Association Executive or related credential is preferred.
- Experience with Association Management is preferred.
- Minimum 3 years of experience in a management or supervisory experience is required.
- Perform effectively, efficiently and with quality under tight deadlines and manage multiple priorities.
- Must have excellent interpersonal, written, and verbal communication skills. Professionally and appropriately communicate with a diverse group of individuals.
- Must demonstrate a positive attitude and proactive nature.
- Critical thinking skill capabilities are essential.
- Must exhibit a high degree of professionalism and maintain the highest level of confidentiality.
- Able to work in a highly organized manner within a fast-paced, innovative, and continuously changing environment.
- Must be highly organized with a great attention to detail.
- Will be required to work extended hours during the weekdays and/or weekends to meet client needs
- May be required to travel and work from different company and client locations.
RESPONSIBILITIES: - Serves as the Executive Director or de facto Executive Director for assigned associations.
- Provides counsel and recommendations to client officers and directors in regards to:
- Board Governance
- Financial Performance
- Organization Mission/Strategy
- Growth
- Volunteers
- Oversees the management of assigned client associations’ budgets
- Supports business development activities including client relationship development, program-specific positioning activities, teaming arrangements, proposal preparation, presentations, and contract negotiations consistent with established business development processes.
- Identifies and analyzes meeting logistics needs of association clients, including food and beverage, meeting rooms, housing, transportation, audio-visual, registration management and risk management.
- Prepares and distributes request for proposals for third party services to client associations, including meeting venues/facilities, drayage and decoration, food and beverage, registration services, audio-visual, and others as needed.
- Supervises assigned team members, including all supervisory accountabilities. Provides coaching/training/guidance and professional development to employees.
- Demonstrates appropriate leadership skills including, but not limited to, effective and timely work product oversight, accurate communication with employees, supervisors, and team members; timely and accurate identification of technical, training or staff issues and/or concerns, and timely client communications regarding open items.
- Proactively initiates the appropriate billing and collection of fees from clients.
- Collaborates with team members with a resolution of work problems and ensures all deadlines are met.
- Builds and maintains trusted relationships with diverse group of clients, team members, managers, and subject matter experts.
- Participates in Firm recruiting activities as needed.
- Complies with all professional and Firm requirements (e.g., employee handbook requirements, time entry procedures, audit quality control document requirements, etc.) including complying with confidentiality requirements (e.g. client information, proposal information, personnel information, job-related information, etc.).
- Attends and actively engages in training sessions and/or meetings as required.
- Maintains a positive attitude and is receptive to feedback.
Other Duties: - Provide courteous and prompt service to all internal and external parties. Prioritize and address requests and assignments in a professional and cooperative manner.
- Identify opportunities and recommends methods to improve service, work processes and financial performance (e.g., procedure optimization). Assist in the implementation of quality improvement initiatives.
- Assist co-workers in the completion of tasks and assignments to ensure continuity of service. Actively supports teamwork throughout the organization.
- Perform other services as assigned.
