The AZA Executive Assistant position provides administrative support to the President and CEO and Executive Vice President. The Executive Assistant also serves as a liaison to the AZA Board of Directors, which is made up of 13 Directors of AZA Zoos and Aquariums. The position provides an opportunity to work closely with the AZA President and CEO, Executive Vice President, and Board of Directors to advance the priorities of AZA and its zoo and aquarium members, including wildlife conservation, environmental education, and animal welfare.
The essential functions include, but are not limited to the following:
• Administrative support to the President and CEO and Executive Vice President, including preparing correspondence, receiving phone calls, tracking and coordinating schedules and calendars, making travel arrangements, preparing reimbursement requests, arranging conference calls, processing mail, monitoring email and phone messages in the President and CEO’s absence, creating and maintaining files, and providing meeting support. • Administrative support to the Board of Directors including issuing the calls for Committee reports to the Board, assisting in the preparation of Board meeting agendas and meeting materials, scheduling Board conference calls, attending Board meetings, preparing Board meeting minutes, updating Board manuals, monitoring the Directors group email, and organizing and executing annual ballot processes for election of the Board of Directors and Ethics Board. • Travel to attend and provide support for Board Meetings. • Support to the current and incoming Board President with approval of the President and CEO. • Other administrative duties as requested by the President and CEO or his designee.
Competencies: • Skill in accurately and efficiently preparing documents and compiling data. • Strong organizational skills. • Strong written and verbal communication skills. • Knowledge of Microsoft Word, Excel, Adobe Acrobat, PowerPoint, and Outlook. • Ability to establish and maintain effective working relationships with staff and members. • Thoroughness and attention to detail.
Minimum Qualifications: • 3-5 years of administrative or executive assistant experience. • High school diploma (Bachelor’s Degree preferred).
