Simultaneously manage and administer the registration process for up to 10-15 international and domestic, world-class events. Duties include handling all facets of the registration process. Data management begins with entering event and registration details into the database and continues with the coordination and reconciling of arrival/departure information, rooming needs and special requirements with hotels and other vendors. Additional responsibilities include creating a variety of event reports and documents, responding to specific inquiries of staff and members, preparing correspondence with members, hotels and other vendors, and filing and maintaining extremely organized and accurate event files.
Serve as the main point of contact for any event-related questions coming from our members via telephone and email.
Maintain detailed, organized, and current event files including all member correspondence for each registrant for each event.
Manage the registration timeline per event and ensure all tasks are completed on time and accurately.
Responsible for all event registration reports and event records, ensuring the information is accurate and current.
Provide regularly scheduled detailed reports and statistics on respective events.
Responsible for creating events in the Fonteva platform. This includes ensuring the registration functionality is working and event information is accurate (i.e. dates, pricing, location, hotels, off-sites).
Responsible for managing hotel accommodations for members. This includes ensuring correct dates, preferences, and corresponding with the hotel to ensure rooming reports are accurate.
Collaborate with Event Managers to ensure all pre-event items are handled accordingly.
Generate and send correspondence including member registration confirmations.
Process credit card requests and submit to Accounting in a timely manner. Collaborate with Accounting to ensure accuracy of registration information.
Excellent customer service skills. Outstanding verbal and written communication skills are required.
Must be detailed oriented and able to meet deadlines.
Flexible, self-motivated and a team player.
Ability to work independently and in a fast-paced environment.
Proficient in Microsoft Office (Excel, Word, Outlook).
Salesforce and Fonteva experience a plus.
Ability to problem solve and think several steps ahead.
At least three years’ experience working in event registration or a similar customer service type role.
