Since we are an association management group, our meeting planners must be able to handle multiple meetings with diverse clients simultaneously.
Meeting Planner Responsibilities:
Send out RFPs
Work with ED on Contract Negotiation
Serve as Point of Contact with Hotel/Banquet Manager
Food & Beverage Selection
Guarantees to Hotel
In house vs 3rd Party AV
Manage On-site Registration Desk
Work with ED and accountant to create and manage conference budget
Work with CME/CE committee to develop meeting program
Work with CME/CE committee or ED on honorarium negotiation
Serve as point of contact
Organize Speaker Travel
Hotel Room Reservation
Submit CME/CE Applications
Exhibitors (Pending Client)
Create Exhibitor Prospectus
Recruit Exhibitors for appropriate meetings
Negotiate exhibitor sponsorship levels
On-site management of exhibit hall
Set-up & manage Online Registration Collection
Meeting Marketing (working with Director of Communications)
Order on-site materials: signs; conference bags; packets; etc.
Review and approve final conference bill
Itemize Final Bill for Accountant
Distribute and Summarize Evaluation Forms
Board of Directors
Present site selection and venue comparison to the BOD
Prepare meeting updates and provide meeting statistics at BOD meetings
Experience with CRM databases (i.e. Memberclicks) a plus
Excellent proofreading skills
Excellent multitasking skills
Experience/proficiency with bulk email marketing services, specifically Constant Contact
1-3 Years Meeting Planning Experience Minimum
Experience with association management firms a plus, but not required
