The Registration Specialist will be responsible for Interel’s registration services for multiple clients. This is a primary service provided by Interel and sets the tone for the whole attendee meeting experience. This position requires strength and interest in people skills as well as in technology. The successful candidate must demonstrate a strong ability to diagnose and resolve data and user entry problems while maintaining the utmost respect for the individual being served. He/she must demonstrate excellent skills in customer service, verbal and written communication, organization, and problem solving and serve as a trusted advisor and partner to Interel’s clients. The Registration Specialist must have a good telephone manner, face-to-face and interpersonal interaction skills, marketing, e-mail and writing skills to enhance communications with clients, volunteers and attendees.
The incumbent will report to the Director of Meetings and work closely with other staff to ensure that quality services and reporting are delivered in a timely and professional manner.
This position has substantial responsibility to exercise significant discretion and independent judgment in the performance of the following:
Directs, plans, and manages registration services for client conferences to include, preparing specifications for the online registration website, managing the build out of registration websites and producing client reports in multiple databases.
Demonstrates strong customer service in developing and maintaining client relationships to diagnose and resolve all registration issues, handle problems and answer inquiries.
Oversees and performs the full event registration customer support to clients which may include: processing all incoming registration applications, generating required reports (quality check), producing confirmation/receipts to all participants, managing the preparation and printing of name badges and communicating changes or updates daily via email, fax, and telephone to clients.
Explores and makes recommendations for new initiatives, and process enhancements.
Ensures that event time frames are maintained and verifies services are completed as scheduled.
Responsible for working with managers to fulfill client responsibilities and expectations.
Responsible for working efficiently with the Accounting Department to provide timely and accurate monthly reports.
Responsible for managing onsite registration, including training and supervising temporary staff
Demonstrates the following:
Mastery of the registration system,
understanding of the data and how it flows through the system,
ability to maintain the integrity of the data,
ability to recognizing and reporting suspicious data
Manages and coordinates support to the Events staff:
by understanding the details of the events and can clearly explain them to customers,
by enforcing the rules established,
by promptly providing report data and basic tasks as requested.
Performs other duties as assigned.
Qualifications & Skills:
Relevant experience in registration, membership, meetings management or hospitality is a plus, preferably within association industry is a plus.
Related nonprofit/business experience considered a plus.
Strong customer service and listening skills.
Excellent verbal/written communication skills. Attention to detail.
Great judgment and the ability to analyze situations, identify and troubleshoot problems, and follow-up until a resolution is achieved.
A team player with strong peer relationships. Ability to maintain positive work relationships with clients, coworkers, management, volunteers, and vendors.
Excellent organizational skills, ability to manage multiple projects and can thrive in a fast paced environment.
Experience in ability to delegate and manage other supporting staff, and maintain confidentiality, prioritize work with limited supervision.
Proficient in Microsoft office, and comprehend written materials and perform intermediate mathematical calculations.
Experience working with membership and registrations platforms (Net Forum, Events Rebels, and Your Membership in particular). Experience working with and/or setting up on-line payment systems will be considered a plus.
