Meetings Manager The American Association for Justice (AAJ®) is seeking a Meetings Manager for its’ Meetings & Conventions department. AAJ seeks to promote a fair and effective civil justice system—and to support the work of attorneys in their efforts to ensure that any person who is injured by the misconduct or negligence of others can obtain justice in America’s courtrooms, even when taking on the most powerful interests. The Meetings Manager coordinates, organizes, develops and executes meetings and events for the National College of Advocacy (NCA). This is an entry to mid-level position.
Essential Duties: • Develops and maintains a detailed project plan for calendar of educational meetings and offerings. • Monitors timeline and fulfillment of deliverables. • Records and manages project issues and escalates when necessary. • Effectively negotiates terms and conditions with event venues and partners to meet service expectations and ensures appropriate expense management. • Manages the contracting process to include rates, terms and special considerations. • Handles all aspects of event management, including venue selection, audio visual arrangement, and food and beverage, in conjunction with activities, transportation and other operational logistics. • Plans, coordinates and implements special events and other meetings, conferences and special projects. • Consults with representatives of organization to plan details such as number of persons expected, display space desired and food service schedule. • Directs venues in preparing banquet and convention rooms and erecting displays and exhibits. • Manages budget for each event and provides recommendations to internal departments regarding event management decisions. • Creates and maintains financial event reporting documents for the internal client to include estimates for future budget cycles and logistics budget. Submits comprehensive post-event reports. • Facilitates regular team meetings and communicates team decisions, action items, and interim/final reporting that is accurate, thorough and meaningful. • Ensures website and event apps reflects key messages of the meeting. • Supports Annual Convention with general membership and registration inquiries.
Minimum Qualifications: • 2-4 years’ experience in meeting planning. • Bachelor’s degree. • Prior Association experience preferred. • Certified Meeting Professional (CMP) preferred. • Strong organizational and communications skills. • Excellent communication skills (both verbal and written). Good presentation skills. • Must be highly organized, detail-oriented, have superior time management skills, multi-tasking abilities and work well in a team setting. • Good project management and budget management skills. • Good decision-making skills and the ability to accomplish projects independently. • Excellent interpersonal skills with a high level of professionalism and the ability to maintain composure always. • Fantastic customer service ethic and high expectations for quality. • Proficiency in MS Office suite products. • Travel required, including overnight and weekend commitments (up to approximately 40%).
