This is an entry-level professional position on the Knowledge & Practice team reporting to the Director, Sustainability Knowledge & Practice with dotted line reporting to the Sr. Director, Resilience, Adaptation & Disaster Assistance.â The Specialist will provide admin & and project management support for the Sustainability and Resilience department on specific program areas.
Job Duties: Administrative support: Administrative and operations support for sustainability and resilience program areas includes meeting and event scheduling and execution, work coordination and support for the members of the cross functional teams, and other work as assigned.â
Assist the program staff in maintaining filing systems for their programs and projects.
Ensure accurate meeting notes or minutes of meetings and conference calls are taken, typed and circulated to the attendees.
Provide administrative support for national level events, including Conference on Architecture, hosted by the AIA and other industry partners.
Project Management / Coordination: Coordinates day-to-day execution of the Resilience, Disaster Assistance and sustainability training and education programs
Coordinate logistics of trainings and education sessions with AIA components, instructors / subject matter experts, and partner organizations.
Conduct outreach and communications to maximize participation in education and training programs
Engage members, volunteers, the public and colleagues in sustainability and resilience projects, events, resources and networks.â
Maintain contact lists in the member database, listservs, and other databases as appropriate for select sustainability and resilience programs; obtain feedback and survey information to inform program development.
Contribute to program growth by researching trends, identifying potential program partners, and recommending areas for internal collaboration.
Provide support for program and portfolio plan development and help track progress toward targeted initiatives.
Provide excellent customer service & coordinate travel arrangements, communications and reimbursements for volunteers attending meetings, webinars and conference calls including scheduling calls, preparing.
Respond to information requests from AIA members, AIA components, and the general public on AIA sustainability, resilience, disaster assistance activities and issues.
Support execution of communications plans including social media, newsletters, and multimedia.
Participate in cross-team efforts related to sustainability, resilience, and disaster assistance and additional projects as assigned.
Identify resources and conduct research to develop resources and execute projects and events.
Conduct research on specific topics or requirements as requested. Research may address the needs of specific meetings or events, topics or projects and may be conducted online or using traditional methods.
Work with directors and program leads to format, develop, and manage content on appropriate pages of AIA.org, social media, and presentations for sustainability, resilience, and disaster assistance.
Assist in editing and graphic design for reports on sustainability, resilience, and disaster assistance.

Demonstrated success working in a team environment, coordinating and communicating with colleagues and others, conveying ideas with tact and diplomacy, and resolving problems collaboratively. Interpersonal skills are essential as frequent member contact and interaction are required. Ability to manage multiple priorities and responsibilities and have good attention to detail and excellent organization skills. Sound judgment and initiative to work independently is a must. Commitment to produce excellent work according to deadlines. Proficient in the use of Microsoft Office Suite (e.g., Word, Excel, PowerPoint Access, etc.). Experience with GoogleDrive tools a plus. Skilled in using electronic and traditional research tools and methods.
BA or BS degree in architecture, liberal arts, English, communication, business, marketing, or related field and 2-3 years of responsible administrative & project management experience or equivalent combination of education and experience. Some association experience as staff or volunteer is preferred.
