A growing trade association on the Orange Line in Arlington, Virginia seeks to fill the position of Office Manager & Bookkeeper. Primary responsibilities are outlined below.
Responsibilities:
Office Management
Liaise with property management, cleaning and security companies on issues relating to the building/suite
Ensure that office supplies are fully stocked
Liaise with external vendors to ensure that all computers, systems, phones and other equipment are operational
Administer employee parking/metro benefit program
Maintain postage machine – track usage monthly and add funds as necessary
Assist with preparing materials for Board of Directors and other meetings
Answer the phones on a timely basis and maintain phone lists
Accounts Payable
Create new vendors in accounting system, request W-9 forms and maintain vendor-related documentation
Review and enter invoices in accounting system – obtain approvals needed and GL account coding
Process check run and cut checks twice per month, or more frequently if circumstances require
Accounts Receivable
Create invoices to support association’s various programs
Process payments received – includes creating bank deposits, processing credit card payments, updating customer/member records in membership system and accounting system
Make collection calls as needed
Other duties as assigned. Travel may be required one time a year to attend the organization's annual conference.
Qualifications:
Bachelor’s degree
At least two years of experience managing an office with a minimum of 15 associates on site
One to two years of experience working with accounts payable and accounts receivable
At least one year of experience managing at least one direct report
Exceptional attention to detail and accuracy
Energetic, self-starter and intellectually curious
Ability to work both independently as well as collaboratively in a team environment
Proficient with Outlook, Word, Excel, and PowerPoint
Experience working in Great Plains or Sage preferred
