The Healthcare Businesswomen's Association (HBA) is seeking a virtual Director of Meetings & Conventions to directly support the organization's strategic objective to provide measurable value to our key stakeholders and ensure enduring growth by continually delivering a differentiated and robust portfolio of offerings. Meetings play a key role in the HBA value proposition to both individual and corporate members and the effective planning and execution are essential to maintain the established HBA reputation.
This director must have a firm grasp of all aspects of meeting planning and how this is related to engagement and delivery of content. The best candidate can identify trends/opportunities and propose recommendations, demonstrate proven experience with contract negotiation, managing vendors, marketing and pricing, project management, resource management, and quality assurance. This individual will be responsible for the planning, development and execution of HBA’s meetings and conference strategy resulting in highly engaging experiences. Accountability also includes all related activities, including financial planning, tracking and profitability targets.
1. Meetings and Conventions Strategy(ies) • Evaluate and enhance HBA branded event structure and profitability, including the value proposition of meetings as a key part of HBA's value proposition. • Execute the events including all facets of preparation, including budgeting/finances, registration procedures, marketing, material development, vendor contracts, satisfaction surveys, metrics, reporting, and oversight of event staff. • Monitor general meeting and convention trends internal and external to the HBA and develop/streamline reporting processes for HBA events.
2. Collaboration This role works with most staff areas to align strategies and plans for HBA events. Some specific examples include marketing; corporate relations (sponsorship, partner collaboration, etc.); education (content); leadership (strategic alignment); IT; executive office (board retreats); customer service.
3. Team Lead/Staff Management • Serve as staff lead and subject matter expert (SME) on anything related to meetings and conventions, specifically leading the HBA branded team which oversees the Annual Conference and Woman of the Year events. • In coordination with Manager, serve as a key team member in support of other HBA events, such as 3BC, Leadership Institute, board retreats and staff retreats. • Provide management oversight to staff and HBA branded leadership team in regards to meetings and convention activities, as we work collaboratively in a highly matrixed team environment. • Direct the services/support level of third party event management company • Oversee Manager duties and performance
This is a virtual role, and strong skills to work autonomously are a requirement. Excellent verbal and written communications skills including active listening and questioning skills, with demonstrated ability to build strong relationships with internal staff and external clients are required with particular strengths in the following areas:
• Quality conscious and detail oriented with strong analytical skills to collect and analyze data, recognize trends and make sound recommendations. • Strong budget development and financial management skills. • Demonstrated ability to innovate, to think and perform strategically as well as tactically and create consensus. • Knowledge of overall event strategy and choreography of meetings and conferences. • Excellent project and time management, negotiation, organizational and problem solving skills. • Ability to work well under pressure and give clear direction. • Proven customer service skills with the ability to analyze a situation and demonstrate strong independent judgment and business acumen. • Proficiency in Microsoft Office Suite (Excel, PowerPoint, Outlook, and Word) and experience using a relational database.
Experience in a non-profit professional association setting is highly desirable with 8 or more years of experience in the meetings industry. An ideal candidate will have the following experience: • Developing and delivering meetings and conventions generating revenue and high value and attendee experience resulting in increased new members and high return metrics. • Managing staff and volunteer leaders. • Working successfully in matrix teams in a fast, high-volume, virtual atmosphere. • Previous supervisory experience strongly preferred.
