The primary purpose of this position is to provide administrative support to the Vice President, Human Resources and the department staff on human resources programs, processes, payroll, and activities.
Provide administrative support to the Vice President by creating, preparing, and distributing correspondence, maintaining calendar and scheduling meetings, answering and responding to all incoming calls, and copying, faxing, and filing.
Provide administrative help to the human resources department staff on activities related to all human resources activities, in particular, exit process, internships, employee of the month, recognition program, EEO1 reporting requirements, I-9 files, etc.
Prepare and backup the Manager, Human Resources with semi-monthly pay periods to ensure accurate and timely input using our ADP systems, i.e., inputting employee salary adjustments, employee department information, timesheet information, withholdings, etc.
Manage the process of employee time reports through the ADP EzLabor system to maintain accurate reporting of vacation, sick, comp, etc. Maintain employee leave accrual reports on a monthly basis for the organization. Create and distribute employee leave reports for department vice presidents.
Work with the staff on our annual performance review program. Help coordinate activities, train employees, respond to questions, update Halogen software, obtain new hire goals and objectives, and process all paperwork for filing.
Work with the staff on BIO’s employee on-boarding program by preparing materials for new employee, coordinate on-boarding with in-house participants, announce by email new hires, and ensure PowerPoint presentation and video are current.
Maintain and organize personnel, benefit, and payroll files in the human resources department to ensure they are up to date and accurate.
Prepare and manage the annual budget with the Vice President. Monitor department expenses comparing them to the departmental budget. Verify and process all monthly bills/invoices for the department.
Update human resources monthly reports such as the vacancy report, staff listing, and monthly close information.
Schedule and handle logistics for all required training that has been scheduled by department staff for employees.
Maintain and keep current all HR information located on sites like the Intranet, ADP, and HRB systems.
Create and post the organization charts for the organization reports ensuring they are up to date and accurate.
Participate and provide support for the organization’s Event Planning Committee for company events.
Performs other related duties as required and assigned.
3+ years of related work experience requiredUnderstanding of ADP Pay Expert, EzLabor and HRB systems are helpful
Must have proven experience in handling confidential informationMust be able to take initiative
Knowledge of HR compliance and regulations helpful
Strong organizational skills and attention to detail
Ability to communicate effectively both verbal and written
Computer literate; Microsoft environment – Word, Excel, PowerPoint and HRIS database experience
Must have human resource and payroll experience
Bachelor’s degree or equivalent years of work experience
