The American Academy of Actuaries seeks a Senior Administrative Assistant to assist its Public Policy Department with daily responsibilities, including responding to information requests from association members; handling all e-commerce for the department; coordinating mass mailings; and assisting in arranging inter- and intra-departmental meetings, conference calls, and staff travel. This position requires strong organizational and communication skills, attention to detail, and ability to multi-task. Computer proficiency in MS Office Suite; Web savvy and database expertise is required for this position. 3 to 5 years experience supporting a large department is a plus.
SPECIFIC RESPONSIBILITIES INCLUDE:
Provide general administrative support to department (e.g., scanning, computer data entry, filing, faxing, mailings, photocopies).
Maintain department’s listservs and SharePoint websites.
Coordinate webinars (WebEx troubleshooting, event setup, coordinate marketing with communications department, dry run scheduling, and distribution of presentation materials).
Investigate and respond to inquiries and requests from members and external audiences.
Coordinate Capitol Hill Briefings and other external policy meetings (e.g., room setup & breakdown, securing equipment).
Provide executive assistant support for director of public policy and assistant director of public policy (e.g., travel arrangements, expense reports).
Act as back up to legislative assistant and assist on front desk as necessary.
Perform other duties as needed to accomplish Academy/department initiatives.
