The Education and Meetings Coordinator coordinates a variety of detailed and complex projects to assist with the maintenance of a healthy and viable membership organization. Coordinate the development, organization and implementation of the society’s meetings and course arrangements. Serve as liaison to committees as assigned to carry out their stated initiatives and projects. Provide on-site support at assigned meetings and courses.

Coordinate, implement and evaluate the logistical and operational elements of meetings and courses on time and within budget. Assist with the development and distribution of RFPs to potential contractors and prepare proposal comparison grids; prepare specifications for audiovisual companies, decorators, tour operators and others contractors as needed. Participate in meeting planning activities, such as developing and managing banquet event orders; ordering signs; and developing and submitting specs for meeting rooms, audiovisual needs, and social events. Coordinate the creation, printing, design and distribution of all meeting materials, including the preliminary and final program books. Proofread and ensure accuracy. Seek print and design proposals; and prepare comparison grid for budgeting purposes.
Collect, prepare, and distribute materials for ACCME review and action; ensure programs comply with ACCME regulations. Evaluate and suggest new educational programing and/or learning formats to enhance the attendees’ experience; implement changes as directed. Communicate travel information to relevant parties; arrange travel when necessary.
Coordinate all aspects of abstract management and submission processes for the Society’s programming, including papers and posters. Serve as the liaison to the abstract vendor; work with the vendor to ensure correct data input and accurate reports. Create the abstract application for papers and posters, in concert with the Program Committee. Create, dispense, and track all communications related to the abstract process and scientific program. Assign abstracts to relevant parties, monitor grading progress, create reports, and enter data into abstract system. Ensure disclosures are up-to-date and complete. Assist Manager in implementing and adhering to policies set by the Program Committee.
Evaluate the abstract management process and system and provide recommendations for improvement.
Support the society’s mission and vision by serving as a liaison to assigned committees and project teams. Work with leadership of the Program Committee, Pre-Course Committee, Specialty Day Committee and other groups as assigned to implement the groups’ deliverables on time and within budget. Review and evaluate activities on a regular basis; ensure groups are meeting objectives. Assist leadership with agenda development, arrange and communicate meetings and conference calls; distribute agenda materials; write appropriate reports; draft, distribute, and archive meeting minutes/official business; conduct follow-up on action items; provide guidance as necessary. Assist with committee projects as assigned; attend meetings as directed.
Conduct other duties as needed or assigned. Develop and maintain protocols and procedures related to position’s responsibilities. Provide administrative support as request to facilitate society and department projects and activities. Copy, route, and file paperwork; track and order supplies. Arrange in-person and conference call meetings. Perform other duties as needed.
