| PURPOSE OF POSITION |
Provide administrative support for the National Alliance of State Pharmacy Associations (NASPA). Position involves extensive staff and member interaction requiring a high degree of tact, diplomacy, and communication skills. Additional responsibilities include answering phones, assisting in the maintenance of computer and paper files, coordination and scheduling of meetings with NASPA committees, members and stakeholders and working cooperatively with staff as needed. All functions include work both directly related to NASPA and to contracted association management services for NASPA members.
ESSENTIAL DUTIES OF POSITION
FUNCTION 1 (40%) Provide administrative services support and project coordination for the staff at NASPA • Entry and management of membership data • Primary phone coverage (first to answer all incoming calls) • Coordination and scheduling of meetings with NASPA committees and other stakeholders • Take meeting minutes, as needed, for committees and executive committee meetings • Update and maintain NASPA activities document • Assist in scheduling of staff travel • Other administrative duties as assigned
FUNCTION 2 (15%) Meeting planning • Communicate logistics with speakers and attendees • Assist with the creation of nametags, attendee lists, handouts
FUNCTION 3 (20%) State Association Management Services (SAMS) • Coordination and scheduling of meetings with SAMS’s managed meetings, committees. • Primary phone and email communication coverage for SAMS clients. • Assist the education committee to meet event planning deadlines, collecting, submitting and coordinating all continuing education documentation prior to and after events. • Assist with database management and running of reports for committees and academies. • Communicate logistics with speakers and attendees • Assist with the creation of nametags, attendee lists, handouts
FUNCTION 4 (25%) NASPA projects and operations • Assist with member survey and registration form creation • Assist with grants and other contracted projects, as assigned
