Provides departmental support for Certification Activities (CA). Reviews and performs quality control on all CA applicant financial transactions. Collaborates as necessary with CA staff and ASCP Finance Department to resolve and follow-up on issues/errors. Processes the receipt of college transcripts and clears applicant files for accredited program students after examination. Sorts and distributes transcripts, applications, and documentation to CA Evaluators. Assists with setting-up conference calls and distributing collateral materials for the Appeals and Ethics Review Committee meetings.
This position requires strong organizational skills with the ability to multitask. Must be accurate and detail-oriented in reviewing monetary transactions, data entry and researching/merging database records. Excellent research skills. Proficient in Microsoft Office Suite and Adobe required for creating and maintaining documents. Excellent customer service and communication skills; both verbal and written are required.
Reviews financial transactions to identify discrepancies and works with appropriate staff to research, resolve and follow-up as necessary.
Researches check payments from institutions received without documentation to determine where monies should be applied.
Notifies candidates when applications are received without payment or when a credit card is declined.
Processes, clears and evaluates transcripts for all “Hold Grade” applicants for certification. Including answering telephone calls, emails, and other correspondence.
Purges “Invalidated” score candidates on a monthly basis.
Processes and distributes all transcripts, documentation forms and paperwork to the appropriate CA evaluator.
Maintains transcripts not associated with applications. Purges unmatched transcripts after three (3) months.
Prints Military applications when received from the Financial Department. Prints manual applications when fees are received without documentation.
Prepares reports, correspondence and other administrative tasks for Administrative Director and other managers as assigned.
Contacts Appeals and Ethic Review Committees to arrange meeting times for review of cases.
Updates the US Certification Activities Procedure Manual and maintains in Global Share.
Prints and distributes weekly Applications and Score Reports.
Serves as backup for the scanning and indexing of documents into Docuware.
Educational Background – An Associate Degree is required.
Work Experience – Minimum of two (2) years related experience.
Special Training/Skills – Knowledge of Microsoft Office Suite, Adobe, and ability to operate the database management system. Excellent oral communication and written communication skills required.
