As a Senior Association Coordinator, you will work closely with members who are passionate about the mission. In this role, you will support aspects of the association that advance it forward including, but not limited to, education management, communications, membership, and marketing. General Responsibilities, 20%
This position will provide primary support to two separate associations, the Vascular Access Certification Corporation (VACC, www.vacert.org) and the Association for Information Systems (AIS, www.aisnet.org).
Provide input into client and Association Management Business Unit (AMBU) operations, processes, procedures and policies
Operate in compliance with association specific policies
Respond to client requests in timely, professional manner
Adhere to all communications-related policies and procedures
Effectively prioritize and manage time between clients
Work with Marketing Department to ensure thorough knowledge of best practices
Support the overall goals of the organization through additional responsibilities as required
Principal Duties (VACC), 50%
Handle member inquiries and requests serving as a primary contact for a client’s phone and on-line membership presence.
Maintain the membership database and ensure the accuracy of its content.
Manage the member renewal and enrollment process and provide reports as needed.
Responsible for membership files and ensures all payments are received and processed.
Provide Web site support and maintenance.
Work effectively with volunteer committees and interface with association members.
Develop and oversee multi-media marketing campaigns to promote client brands, programs and initiatives
Serve as project manager for client marketing initiatives, working with both staff and volunteers to ensure that expectations are set, timelines are met and results are delivered
Manage the development of articles, brochures, newsletters, email communications, social media and various other communications pieces from concept through delivery, including establishing a creative direction, procuring content and design assets from multiple contributors, crafting messaging, writing content for targeted audiences and managing review and approval processes
Work closely with internal clients such as account managers and graphic designers as well as external clients to design and implement integrated marketing campaigns and events, manage the approval process and ensure the successful delivery of all items
Review analytics associated with all facets of each marketing initiative, draws inferences and makes recommendations to improve performance
Monitor quality and consistency of client communications, advocate for the end-user experience, serves as the voice of the conference attendee, association member, certificant or prospect
Principal Duties (AIS), 30%
Configure and manage paper submission, review and publication websites (using the PrecisionConference platform) for two conferences
Work closely with conference program chairs to ensure streamlined and effective paper submission processes
Onboard new eLibrary series from AIS and affiliated conferences
Run regular and ad-hoc reports for program chairs and staff
Develop and maintain user manuals and other instructional material for different user types
Travel to and support annual conferences (one in North/South America, one International)
Verify author membership status
Validate article reproduction permissions
Bachelor’s degree preferably in Business Administration, Communications or Marketing
1-4 years of basic office experience preferably in non-profit membership organizations
Proven success in project management, organization, and administrative duties
Excellent oral and written communication and interpersonal skills, including presentation skills and networking
Experience with association management software preferred
Proficient in Microsoft Office (Word and Excel) required with ability to learn new software
Valid passport required
