Manage and produce annual large events, membership meetings, committee meetings, board meetings, other in-house meetings and educational events, staff events and other programs as assigned. This position serves as support and reports to the CEO. (Exempt Employee).
Oversee the TENNESSEE REALTORSâ Events/Meeting goals and efforts. Provide information and guidance to TENNESSEE REALTORSâ staff as they pursue their individual department goals.
Manage, direct and supervise resources involved with meetings, events and special projects. Supports all departments and staff involved with such projects.
Operate within approved budget for each event and meeting related expenditure.
Plan, produce, manage, and execute meetings and events independently or in conjunction with staff or volunteers. Coordinates with staff when negotiating dates and event details.
Assists in the negotiations of contracts with hotels, convention centers, food and beverage vendors, catering and other meeting-industry vendors to be approved and signed by the CEO.
Ensures catering requirements are implemented including clean up after events and meetings.
May be responsible for preparing agendas and minutes for committees and/advisory groups as assigned by the CEO. Duties may include: notifying Committee members of meetings; setting up Committee rosters and tracking meeting attendance; preparing meeting dates, and rooms. Follow up recommendations to the Committee. Fosters a good working relationship with the committee leadership and Department Head.
Conduct site inspections as necessary for meeting/event locations and participate in site decision making process.
Supervise the implementation and management of any housing process, including processing of hotel reservations for staff, leadership, VIP’s, speakers, etc.
Responsible for all hospitality request are met for special guest and speakers.
Oversee registration and processing for various events and meetings. Monitor registration of events and meetings.
Coordinate dinners and special events for leadership, etc. as assigned.
Ensure appropriate security, emergency services and transportation for meetings/events is arranged.
Work with vendors on and off site and act as the liaison during such events as assigned handling any items/issues that need attention during ongoing event.
Coordinate all decorations, foliage, AV needs, etc. required at events/meetings.
Responsible for special projects such as gifts, creating baskets, cards, flowers, etc. as assigned.
Understands all perks, points, incentives, gifts, extras, etc. obtained by venues, partners, hotels, etc. belong to TENNESSEE REALTORSâ and shall be brought to the attention of the CEO.
Develops and markets advertising packages to promote events and special meetings with the approval of CEO
Manages relationships and outcomes with assigned external contacts which support (or potentially support) TENNESSEE REALTORS® programs and services.
Responsible for operating within the approved budget and within the guidelines of the TENNESSEE REALTORS® policies.
Be available for responsibilities at non-traditional hours or hours outside of the standard work schedule
Manage seasonal displays.
Attend meetings to give updates as assigned.
Perform other duties as assigned by the CEO.
