This is a highly visible and important staff position with responsibility for handling member/customer (internal and external) inquiries as they relate to membership and the Healthcare Technology Management (HTM) field. This position supports the Vice President of Membership and Director of Membership Marketing while adhering to AAMI’s Core Values and Service Standards.
Manages member/customer (internal and external) inquiries through phone, fax, mail, email and web site regarding membership and the HTM Program, ensuring coverage at all times during normal AAMI business hours and ensuring adherence to standards for providing excellent customer service to AAMI members and customers.
Responsible for entering updates to records in the iMIS database, changes member status, adds prospects, assigns interest codes, updates member profiles, including address changes, committee updates and processes requests from members and non-members to opt out of receiving emails from AAMI. Follows data entry guidelines and business rules in doing so.
Takes necessary measures to ensure AAMI has the most current address and demographic data on members and customers, and initiates calls, emails and other correspondence to research and make necessary changes. Works collaboratively with the IT Department to support ongoing database cleanup efforts.
Coordinates invoicing process for members’ renewal dues payments. This includes maintaining record of mailings, number of invoice attempts, print, mailing and filing invoices. Also conducts routine email invoicing to members and recommends improvements and/or changes to renewal cycle notifications. Provides external vendors with lists for on-demand renewals and outreach.
Oversees the new member welcome kit process and maintaining inventory.
Assists with implementation of retention and recruitment campaigns for corporate, institutional and individual members and volunteers.
Oversees distribution of volunteer recognition items annually.
Routinely looks for products/services that would increase the value of membership and makes recommendations to his/her supervisor.
Runs monthly reports on membership stats and produces on-demand reports as requested.
Oversees packing of boxes for purposes of promoting AAMI through the traveling exhibit booth project throughout the year. Responsible for promptly unpacking and restocking materials after the return shipment has returned.
Assists with scholarship and award nominations including sorting nominations for requirements and assisting with uploading documents into the Kavi software for committee review.
Handles other special projects on an as-needed basis.
High school diploma required. College undergraduate degree highly desirable.
A minimum of three years’ work experience in an administrative role, preferably in an association environment.
Experience working in a centralized customer service environment is highly desirable.
Experience with membership recruitment and retention and database maintenance is very useful.
Superior interpersonal skills and good organizational capabilities are required.
Project management capability strongly desired.
Advanced experience working with iMIS database and Microsoft Office applications (word processing, merges and spreadsheets) extremely desirable.
Accurate typing at 50 w.p.m.
