We are seeking a full-time Associate Director. The individual hired will help shape the future PAB and its accreditation processes and will be a vital member of our two-person staff.
The Associate Director assists the Executive Director in providing administrative support for the board members, developing policies and procedures, and supporting the accreditation process.
Assist programs and Site Visitors through the accreditation process.
Ensure that the accreditation process is conducted in accordance with PAB policies and procedures.
Oversee administrative aspects of the accreditation process, including invoicing, reimbursement, and reconciliation of all payments.
Maintain databases, files and records. Generate and review reports to track accredited programs and identify needed actions and/or trends in accreditation and planning education.
Oversee the annual report process, including primary review of annual reports, compilation of consent agenda and substantive change documents for Board review.
Provide accurate and appropriate guidance and information to planning programs, students and the public regarding accreditation status and relevant processes using a professional and courteous manner.
Ensure that all logistics, agendas, and materials are prepared for PAB meetings. Transmit all meeting materials to participants in a timely manner. Provide administrative and liaison support at all PAB meetings, and prepare minutes.
Provide support for Board committees, ad-hoc Task Forces and for PAB special projects as assigned.
Work with Executive Director, committee and board members to set priorities, calls, and meetings; develop work plans and timelines for projects and execute assignments.
Assist in preparation of educational workshops on accreditation including Program Administrator and Site Visitor Training.
Manage PAB communication to different constituent groups as needed, including development of PAB’s newsletter.
Manage PAB website and oversee planned website revision.
Assist in the development and implementation of PAB technological applications, including databases and web-based systems. Support PAB’s technology usage through identifying and piloting potential support technologies.
Perform such other duties as may be assigned by the Executive Director or to advance PAB’s strategic plan.
Serve as acting Executive Director in the absence of the Executive Director.
Minimum of 3 – 5 years of experience in operations or administrative management, accreditation, professional association, customer service, and/or information systems.
Superior organizational and analytical skills.
Demonstrated ability to handle issues of sensitive and confidential nature
Excellent oral and written communication skills, and attention to detail. Ability to communicate effectively in newsletters, website, and social media applications
Computer proficiency required, including advanced functions in applicable software such as Access and Excel. Adept at querying databases and analyzing data and qualitative evidence.
Ability to initiate activities and follow through with minimal supervision.
Ability to work under pressure in a small fast-paced office and work on multiple activities simultaneously.
Proficiency in current web applications, information technologies and database management is highly desirable.
Ability to travel to two annual PAB meetings for 3-5 days, including weekends.
