Position Summary: As part of the Leadership and Professional Development Services (LPDS) department of NAFSA, the Education Abroad Services (EAS) unit provides products and services to professionals with direct service, managerial, and policy maker/strategist positions in education abroad.
The coordinator provides administrative support to three staff members of EAS and the NAFSA volunteer leader groups for the Education Abroad Knowledge Community (EA KC) and the Education Abroad Regulatory Practice (EA RP) Committee.
The ideal candidate will have at least four years of work experience in an administrative support role, a demonstrated track record of success in a team-oriented environment, and a committed work ethic. The candidate will be a creative problem solver with strong communication, technology, and interpersonal skills.
Major Functions and Responsibilities
Provide administrative support for the Education Abroad Services staff.
Monitor departmental inboxes, and maintain the department calendar.
Provide logistical support for EA events and programs.
Manage content, timelines, research potential presenters, create initial communication with subject matter experts and content for e-learning seminars and events.
Travel and attend meetings as assigned.
Prepare and distribute print, electronic, and web-based materials.
Maintain and update the coordinator manual.
Assist in promotion of EAS products/services including online and onsite events, workshops, publications and resources.
Assist in reviewing and editing EA-related publications.
Maintain accurate records of EAS expenditures and revenue. Assist with submitting expenses for payment.
Facilitate the EAS staff in work related to the Education Abroad member leader groups.
Schedule conference calls, maintain databases and filing systems related to member leader groups.
Orient incoming leaders regarding online workspaces and discussion forums.
Serve as proactive EAS operations manager for cycle of leader vacancies, including prompting staff partners, so that the recruitment cycle is smooth and efficient.
Prepare and inventory materials for EA Networking Center at the annual conference.
For the annual conference, manage the EA Connector Program (“buddy program”), including solicitation of mentors and mentees, matching of pairs, and development of the on-site program.
Manage technical aspects of EAS services and products.
Collect, update, and analyze information from NAFSA’s databases for marketing and research purposes related to EA products and services.
Update and maintain EA webpages, using NAFSA’s content management system (CMS), in coordination with web content staff.
Update the statistics for the Education Abroad Visa Help online tool and train volunteer leaders and members on using it.
Manage online, text-based based Collegial Conversations, by scheduling chats, training presenters, and facilitating technology.
Manage virtual meeting support which includes the registration process, communication with customers and presenters, and running the platform during the event.
Moderate Network.NAFSA discussion group.
Complete additional objectives as assigned by the Senior Director.
Research topical areas for Senior Director.
Assist Deputy Executive Director on projects as needed.
Scope of Supervision
The coordinator does not supervise staff directly, though temporary hires or interns may be used from time to time.
The coordinator maintains a consistent level of excellent customer service to customers, members, leaders, and NAFSA staff. With minimal direction, the coordinator will exhibit strong time management skills and the ability to handle multiple assignments to meet department deadlines.
As representatives of a membership organization with a broad and diverse range of activities related to education and training, NAFSA staff possess more than simply specialized capabilities. Each individual is expected to take the initiative to become knowledgeable about the organization as a whole. Association members and other staff expect colleagues to be accessible and responsive, to convey a positive attitude, and maintain excellent customer service.
The workday is generally 9:00 am-5:00 pm. Between Memorial Day and Labor Day, it is 8:30 am-5:30 pm Monday through Thursday and 9:00 am-12:00 pm on Friday. Travel may be required occasionally.
Participation in the NAFSA annual conference the week of Memorial Day, including the holiday itself, is a job requirement. The annual conference is held in varying cities in the U.S.
Bachelor’s degree or equivalent
Minimum of four years of relevant work experience
Diplomatic approach and proactive attitude with sound judgment
Time management and organizational skills to handle multiple, simultaneous assignments
Advanced proficiency with Microsoft Office suite products
Experience with database maintenance and cloud-based software applications
Comprehension and problem-solving skills with an emphasis on oral, written, and interpersonal communication
Due to the nature of the interaction with members, previous experience with NAFSA or in the international education field is highly desirable
Experience in project coordination and event planning
Familiarity with various web or cloud-based conferencing platforms
