This position is under the direction and supervision of the Executive Director and the Chief Administrative Officer. This individual is responsible for performing the duties noted below, as well as other duties that may be required of the position or directed by the Executive Director or the Chief Administrative Officer.
A.Assist in coordinating and completion of the final lecture schedules for the Invitation to Attend and the final program booklet.
B.Draft all speaker contracts in final form in accordance with direction from Convention Committee regarding reimbursement.
C.Assist with all correspondence to members, invitees, Committees, exhibitors, out-of-state podiatric physicians, etc. related to conventions.
D.Coordinate with PA Coordinator postage requirements for all Convention mail outs.
E.Maintenance of Convention/Education CME database management system to work in conjunction with datareceived from electronic scanning badge software contractor.
F.Using database software, enter registrations of all meeting participants and produce reports as necessary.
E.Serve as primary phone support for convention questions, registrations and payment arrangements.
F.Provide primary support for all questions regarding CMEs and licensing requirements.
G.Determine schedules for attendees with particular CME requirements, as requested.
H.Provide support at the registration desk(s) during the convention. Insure that your presentation to attendees and exhibitors is in accordance with the guidelines set forth in the Employee Handbook.
I.Update database lists with no-shows noted and on-site registrants added.
I.Provide support, research and implementation of technological advances as requested by the Convention Committee.
J.Receive and assign exhibitor booth space. Furnish exhibitors with documentation in excel spreadsheets.
K.Provide backup support with exhibitor inquiries.
L.Invoice attendees as needed for amounts due after the Conventions.
M.Enter CMEs for each meeting in the database CME management module to produce CME printouts and keep these records up to date and accurate. Also enter other non-ASSOCIATION events members attend.
N.Respond to exhibitor and membership requests and communications in accordance with ASSOCIATION policies.
O.Assist the Chief Administrative Officer in specific assignments and follow direction and instructions.
P.Be a valuable part of the team by being familiar with the duties of the other positions in the office, as well as becoming an expert in the laws and rules that regulate the profession, the Bylaws, Employee Handbook, and Procedures Manual of the ASSOCIATION.
